Terms of service for WhiskerRefill
The agreement between your practice and MLJ, SASU covering subscriptions, billing, clinic data, availability and liability. Last updated March 2, 2026.
1. Acceptance of these terms
These terms form the agreement between MLJ, SASU, a French simplified joint stock company registered under SIREN 934 769 837 and publisher of WhiskerRefill, and the veterinary practice that subscribes to the service. By opening an account, by using the application, or by sending a request through the form on this website and then activating a plan, your practice accepts these terms in full. If you are agreeing on behalf of a practice, you confirm that you are authorized to bind that practice. If you do not accept these terms, do not use the service.
2. What the service does
WhiskerRefill is a web application for independent small animal veterinary clinics. It imports dispensed prescription records from your practice management system, calculates a run out date for each active prescription based on quantity, strength and dosing interval, sends reminder messages to pet owners before that date, and presents incoming refill requests in a single queue with the associated chart facts. It also produces reporting on refill capture by veterinarian, by drug class and by reminder channel.
The service is an administrative and communication tool. It does not diagnose, does not prescribe, does not authorize a refill on its own, and does not establish or maintain a veterinarian client patient relationship. Every approval, denial or hold on a refill is a clinical decision taken by a licensed veterinarian at your practice. Your practice remains responsible for compliance with state veterinary and pharmacy regulations, with federal rules on controlled substances, and with the messaging consent rules that apply to the contact details you upload.
3. Accounts and eligibility
Accounts are available to veterinary practices and veterinary groups operating lawfully in the United States. You are responsible for the accuracy of the account details you provide, for keeping credentials confidential, and for all activity carried out under your users. Tell us promptly at jimenezjulien42@gmail.com if you believe an account has been accessed without authorization. Every plan includes unlimited users at the covered locations, so credential sharing between staff members is never necessary and is not permitted.
4. Acceptable use
You agree to use WhiskerRefill only for the operation of your own practice. You must not upload records you have no right to process, send messages to people who have not agreed to receive them from your clinic, use the reminder system for unrelated marketing campaigns, attempt to access another tenant, probe or interfere with the infrastructure, or resell access to the service. Automated extraction of the application beyond the export tools we provide is not permitted. We may suspend an account that puts the platform, its deliverability reputation or other clinics at risk, and we will tell you why.
5. Subscriptions, prices and billing
Three plans are offered, each billed monthly in United States dollars. One Clinic is $45 per month and covers a single location with up to 1,200 owner reminders per month. Practice is $95 per month and covers a single busy hospital with up to 5,000 reminders per month plus lab guards, outside pharmacy capture and full reporting. Group is $199 per month and covers a multi location group with up to 20,000 reminders per month, roll up reporting and priority support.
Charges are taken on the same calendar day each month for the month ahead. There is no setup fee, no annual commitment and no per user charge. If your reminder volume goes above the plan allowance, messages are not cut off: we contact you and move the account to the appropriate plan at the start of the next billing cycle. Prices may change with at least thirty days of written notice, and a price change never applies to a cycle already paid. All amounts are exclusive of any sales tax that may apply in your jurisdiction.
6. Cancellation and refunds
You may cancel at any time from the account screen or by writing to the support address. Cancellation takes effect at the end of the current paid month, and no cancellation fee applies. Because the service is billed one month at a time, part months are not refunded, and the account remains fully usable until the paid period ends. After that date the account becomes read only for thirty days so your team can pull exports, and the tenant is then deleted. If you cancel because of a fault on our side that we cannot fix within a reasonable time, tell us and we will refund the current month.
7. Your data and who owns it
Your practice owns its clinic data, including patient records, owner contact details, prescription histories and everything generated inside the account. MLJ, SASU processes that data solely to provide the service, under your instructions, and never sells it, shares it for advertising, or uses it to build a product for a third party. Aggregate statistics used publicly, such as the medians published on this website, are computed so that no clinic, patient or owner can be identified.
You may export your data to CSV at any time during the subscription and during the read only window that follows cancellation. Deletion of a tenant is permanent and cannot be reversed after it completes. Security measures, retention periods and the rights of individuals are described in the privacy policy, which forms part of this agreement.
8. Service availability and support
We target 99.9 percent monthly availability, excluding planned maintenance, which is announced at least three business days ahead and scheduled outside United States clinic hours wherever possible. Reminder delivery depends on carriers and email providers that we do not control, and delivery timing can vary. Support requests are answered within one business day on every plan, and Group accounts have a named contact with priority handling.
9. Warranty disclaimer
The service is provided as is and as available. To the fullest extent permitted by law, MLJ, SASU makes no warranty that the service will be uninterrupted, error free, or fit for a particular purpose beyond the description in these terms. Run out dates are calculated from the data your practice management system supplies: if that data is incomplete or inaccurate, the resulting dates will be too, and your clinical team remains the final check before any refill is approved.
10. Limitation of liability
To the fullest extent permitted by law, the total liability of MLJ, SASU arising out of or relating to the service in any twelve month period is limited to the fees actually paid by your practice for the service during that period. Neither party is liable for indirect, incidental, special or consequential loss, including lost revenue, lost profit, lost data or reputational harm. Nothing in these terms excludes liability that cannot be excluded by law, including liability for fraud or for death or personal injury caused by negligence.
11. Indemnity
Your practice agrees to indemnify MLJ, SASU against third party claims arising from your use of the service in breach of these terms, from data you upload that you had no right to process, or from messages sent to recipients who had not consented to receive communications from your clinic. We will tell you promptly about any such claim and give you a reasonable opportunity to take part in the defense.
12. Changes to these terms
These terms may be updated as the service develops or as the law requires. Material changes are announced by email to account administrators at least thirty days before they take effect, and the date at the top of this page is updated. If you do not accept a change, you may cancel before it takes effect and no further charge will be taken.
13. Governing law and jurisdiction
This agreement is governed by French law. Any dispute that cannot be settled amicably will be brought before the competent courts of Paris, France. Before starting proceedings, both parties agree to attempt a good faith resolution by email or by call within thirty days of a written notice describing the problem.
