The refill authorization checklist
One page your front desk can work through for every refill request, from the moment the owner calls to the moment the next due date is on the calendar.
Refill requests fail in predictable places. The chart that was never opened. The weight from eighteen months and four kilos ago. The exam date that lapsed in February and nobody noticed until the client was at the counter. The look alike bottle two shelves along. None of these need a clever system to prevent, but they do need somebody working the same order every time.
This checklist is the order. It is written for an independent small animal clinic where a receptionist takes the request, a technician pulls the record, and a doctor authorizes between appointments. Print it, tape it inside the dispensary cupboard door, and adjust the wording to match your state board and your own dispensing policy.
Stage one: taking the request
Stage two: checking the record before a doctor sees it
Stage three: getting the authorization
Stage four: filling, labeling, and the next due date
How to use it
Use this as a two person document rather than a solo one. The person taking the request works stage one, the person pulling the record works stage two, and the doctor sees the result of both. Splitting it that way is what keeps the doctor's part down to a decision instead of a research task between appointments.
Run it in full for a fortnight before you start trimming. Most clinics find one stage where they were consistently improvising, and it is usually stage two, because record checking is the step everyone assumes somebody else already did. Once the habit sets, the whole sequence takes a few minutes per request and the callbacks mostly disappear.

Questions about this document
Does this replace our state board requirements?
No. It is a working sequence built around what most state pharmacy and veterinary boards expect, but requirements differ by state and change over time. Check your own board's current language on labeling and the VCPR, then edit the checklist to match.
Can we use it for controlled substances too?
The sequence holds, but controlled drugs need extra steps you should add yourself: the log entry, the double count, and whatever storage and record rules apply in your state. Treat this as the base layer rather than the complete procedure.
How is this different from what WhiskerRefill does?
The checklist is the manual version of the same sequence. WhiskerRefill computes the run out dates, sends the owner reminder ahead of them, and presents each request to a doctor with the record facts already attached. The order of the work is identical.
The same sequence, running without a tally sheet
Working all four stages by hand for every request needs a front desk that never skips the record check in stage two, and busy Tuesdays are unforgiving about that. WhiskerRefill runs the identical order automatically: it computes the last dose date, prompts the owner ahead of it, and presents the veterinarian with the refills remaining and the monitoring dates already attached. Book a demo and hold it against the page you just printed.
