How WhiskerRefill handles your information

Who is responsible

The controller of the personal data described here is MLJ, SASU, publisher of WhiskerRefill, registered in Paris under SIREN 934 769 837. The publication director and the person who reads the contact inbox is Jimenez Julien. Full company details are on the legal notice page. You can reach the controller at jimenezjulien42@gmail.com for any question or request described below.

What the contact form collects

The request form on the home page of whiskerrefill.com collects exactly the following fields, and nothing else is added to them from other sources:

• name: your full name, so a reply can address a person.
• email: your work email address, which is the only channel used to answer you.
• company: your practice name, so the reply can reference the right clinic.
• role: your role at the practice, chosen from a fixed list.
• request: what you are asking for, chosen from a fixed list.
• size: the number of full time veterinarians at your practice, chosen from a fixed list.
• message: the free text you write about your refill workflow.
• consent: the record that you ticked the consent box before sending.
• subject and recipient: two fixed hidden values used to route the message to the correct inbox.
• bot-field: an anti spam field that must stay empty and is discarded.

Please do not send patient records, client contact lists, prescription data or any other clinical information through this form. If you want to share a sample export before a demo, we will agree a secure transfer method with you by email first.

Why we hold it, and on what legal basis

The information is used for one purpose: to answer your request and, if you want to continue, to prepare a demonstration and a written estimate for your clinic. It is not used to build advertising profiles, it is not enriched with data brokers, and it is never sold, rented or shared for anyone else's marketing. Under the EU General Data Protection Regulation the legal bases are your consent, given by ticking the box before you send the form, and the steps taken at your request before entering into a contract. Under United States state privacy laws the processing is limited to the purpose disclosed at the point of collection.

Who processes the submission

Form submissions are processed and stored by Netlify, Inc., 512 2nd Street, Suite 200, San Francisco, CA 94107, United States, which hosts this website and operates the Netlify Forms service. Netlify acts as a processor for MLJ, SASU and stores the submission so it can be read and answered. A notification of each submission is also delivered to the publisher email inbox. No other processor receives the content of the form.

How long submissions are kept

An inquiry that does not lead to a subscription is deleted from the Netlify Forms store and from the email inbox within twelve months of the last message exchanged. If your clinic becomes a customer, the correspondence is kept for the duration of the account and for three years after it closes, because commercial correspondence may be needed to answer a billing or contractual question. You can ask for earlier deletion at any time and we will honor it unless a legal obligation requires us to keep a specific record.

Cookies and measurement

This website sets no advertising cookies, no social media pixels and no third party analytics cookies. There is no consent banner because there is nothing to consent to beyond the form itself. Two fonts are loaded from Google Fonts so the pages render as designed, which means your browser makes a request to that service and it can see your IP address as part of that ordinary request. Netlify keeps standard server logs, including IP address and user agent, for security and abuse prevention, and those logs rotate on a short cycle.

Data about clinics using the product

This policy covers the marketing website. Inside the WhiskerRefill application, a subscribing clinic remains the owner and controller of its patient and client records, and MLJ, SASU acts strictly as a processor under the subscription agreement. Application data is stored on United States infrastructure, encrypted in transit and at rest, and isolated per clinic tenant. A clinic can export its data to CSV at any time and can require deletion of its tenant within thirty days of the end of the subscription.

International transfers

The publisher is established in France and the hosting and form processing take place in the United States. Where personal data of a European Economic Area resident is transferred to the United States, the transfer relies on the European Commission standard contractual clauses included in the processor agreement with Netlify, together with the technical measures described above. If you would like a copy of the relevant transfer documentation, ask for it by email.

Your rights

If you live in the European Economic Area or the United Kingdom, you have the right to access your data, to correct it, to have it erased, to restrict or object to processing, to withdraw consent at any time, and to receive your data in a portable format. You also have the right to lodge a complaint with your national supervisory authority, which in France is the CNIL.

If you live in California, Colorado, Connecticut, Utah or Virginia, you have the right to know what personal information is collected and for what purpose, the right to access and to obtain a copy of it, the right to correct inaccurate information, and the right to request deletion. You may also opt out of the sale or sharing of personal information and of targeted advertising, although WhiskerRefill does not sell, share or use personal information for targeted advertising in the first place. California residents may additionally request the categories of sources and recipients of the information. Colorado, Connecticut and Virginia residents may appeal a refused request, and the appeal will be answered in writing.

To exercise any of these rights, email jimenezjulien42@gmail.com from the address you used to contact us, or tell us enough to locate your record. Requests are answered within thirty days, and there is no charge. You will never be treated differently for exercising a privacy right, and there is no loyalty program or discount tied to giving up one.

Children

WhiskerRefill is business software sold to veterinary practices. This site is not directed at children, it is not designed to appeal to them, and we do not knowingly collect personal information from anyone under sixteen years of age. If you believe a child has sent information through the form, write to the address above and the record will be deleted promptly.

Security

Traffic to this site is served over HTTPS. Access to the form store and to the email inbox is protected by strong authentication and limited to the publication director. Should a breach occur that is likely to create a risk to your rights, affected people and the competent authority will be notified without undue delay, with a description of what happened and what to do about it.

Changes to this policy

This policy is reviewed whenever the site or the service changes in a way that affects personal data. The date at the top of the page is updated when that happens, and material changes are described in the summary box. Continuing to use the site after a change means the current version applies to you.
